Copper’s Marketing Tools, powered by Outfunnel, are being phased out of Business-tier accounts.
Below are some best practices on how to create the smoothest transition to ensure your contacts don’t receive duplicate emails, or miss emails in your series.
1. Schedule the Transition
Make sure you set aside time to implement the migration, so no new contacts get missed. Starting from this point, ensure that all new contacts are added exclusively to the new Email Series.
2. Stop Applying Previous Tags
In your current Marketing Tools sequences, you use tags, contact type, or lead statuses to trigger when a contact enters the email sequences.
Identify what the trigger is and stop applying these tags or criteria to contacts to prevent them from entering the old sequences.
Do not turn off the old email sequence yet if there are still contacts running through your sequence.
3. Create a Saved Filter in Copper
Next, you’ll need to create a saved filter that captures the same audience as your previous sequences, but avoid using the exact same tags or criteria. This filter will serve as the basis for your new Email Series. For more information, check out this article.
4. Verify Contact Overlap
Double-check that the contacts included in your new saved filter are not currently active in the existing Marketing Tools sequences. This ensures that individuals who have already received emails won’t receive duplicates.
5. Set Up the New Email Series
Use Copper’s Email Series feature to create your new automated email sequence based on the saved filter you’ve established. Customize the series to match your desired communication flow. Learn how to create an Email Series here.
6. Keep your existing sequences on
Keep your current Marketing Tools sequences active to allow existing contacts to complete their respective email journeys. Only turn these sequences off after the last contact has finished the sequence to ensure no interruptions in communication.
By following these steps, you can effectively transition to Copper’s new Email Series feature without causing duplicate emails to your contacts.
