Keeping your Copper clean helps your team stay focused, improves reporting accuracy, and ensures smoother operations. Below are a few simple ways to identify and remove outdated or unnecessary data—using filters, bulk delete and exports.
✅ Before You Start: Always Export First
Before performing a bulk delete, we strongly recommend exporting a copy of the records. Once deleted, records cannot be restored, so having a CSV backup ensures you can reference or re-import the data later if needed.
🕐 Remove Contacts Not Contacted in Over a Year
Use filters to find contacts whose "Last Contacted" date is more than 1 year ago.
Why it matters: These records are likely stale and may be safe to remove.
Steps:
Head to the People list view.
Apply a filter for “Last Contacted Date” → “is before” → [12 months ago].
Export the list.
Select all records → Bulk Delete.
💡 Tip: You might want to revisit or prospect this list later—keep that backup handy!
📫 Remove Contacts Without an Email Address
Filter your contacts to find records missing email addresses.
Why it matters: Copper only allows one person per email address. Removing records with no email reduces clutter and avoids potential duplicates.
Steps:
In the People list view, filter by Email → “is empty”.
Export the list.
Select all → Bulk Delete.
⏩ Clean Up Old Opportunities
You can also tidy up stale opportunities using filters:
Days in Stage > 90 — great for identifying deals that have stalled.
Created Date > 1 year ago — filter to find old opportunities that are still open and unlikely to close.
🚨 Bonus: Export, Clean in Sheets, and Re-Import
If you’re planning a more thorough cleanup:
Export your contacts via Settings > Export Data.
Open the file in Google Sheets or Excel.
Remove duplicates, standardize naming conventions, and assign missing owners.
Re-import the cleaned file:
Go to Settings > Import Data
Use "Update existing records" to match by Record ID or email.
