How to update your user's email addresses

To identify the steps required, first determine which scenario applies to your user migration. If you are updating your email but staying within the same GMail account (Scenario 1), contact Copper Support to update your email addresses. If you're moving to new Gmail accounts (Scenario 2), you will invite your new email addresses as new users.

Determine which Scenario applies to your situation

Scenario 1: Same inbox, different email address

If users are changing just their email address, but are maintaining the same inbox (Google account), Copper support will need to send an email address change email to the new address. The email will contain a token to overwrite the old user email with the new one.

Scenario 2: Two Separate Inboxes

If the user is changing from two DIFFERENT Gmail inboxes (accounts) - this is considered two different users in Copper and therefore must be treated as such. This means that the Admin or Account Owner will need to INVITE a new address and transfer all records and entities to the new user. If you do not have any extra seats, you may add the new Gmail account to Copper as a 7-day trial and assign seating once you remove the old User.

Scenario 1: Same inbox, different email address

  1. Contact Copper Support using the in-app chat or by emailing support@copper.com, and select "Ask Copper a Question"

  2. Let the Support Agent know you would like to update your email addresses, and you are staying in the same GMail account.

  3. Provide the Support Agent all of your new Email Addresses.

  4. Once the support agent submits the email change request, your users will follow these steps:

    1. Log-out of Copper

    2. Log in to their GMail and open the email from Copper: Confirm new login details for Copper.

    3. Accept the new login change request provided in the email.

    4. Login to Copper using their new GMail address.

Scenario 2: Two Separate Inboxes

  1. Invite your new user(s) to Copper

    1. If you are at your seat limit, you may still invite the new user on a 7-day trial

    2. Ensure each user and accept the invitation.

  2. (Optional) Transfer records

    1. Reassign record owners (Leads, People, Companies, Pipeline) to each user's new account.

    2. See instructions below on how to reassign Owner using Bulk Edit

  3. Remove old users

    1. Once your user has successfully signed into Copper and necessary records have been re-assigned, remove the old users from your Copper account.

User Bulk Edit to Transfer Records to New Users

  1. Navigate to the relevant records (Leads, People, Companies, Pipelines, Tasks)

  2. Filter by "Owned by" and select your name.

3. Click Select All and choose Bulk Edit

4. Change the owner to the new user and update.

If you are updating over 100 records, it may take 2-3 minute to apply.
