How to replace and reassign records to a new user

When a team member leaves, you can replace them by inviting a new user and if needed you can reassign any existing records before removing the old user.

Summary

  • Invite the new user (trial access is available for 7 days)

  • Reassign records from the old user to the new user (if required)

  • Delete the old user to free up a seat

  • Assign the seat to the new user if needed

Step 1: Invite the new user

Start by inviting the new teammate to Copper.

  • You can invite them even if all seats are filled

  • They will be added on a 7-day trial, giving you time to transition ownership if required

This trial period allows you to reassign records and confirm everything is set up before removing the old user

Step 2: Reassign records (if needed)

Before removing the old user, you may want to transfer ownership of any records they manage to other users.

  1. Go to your Pipeline

  2. Apply a filter for records owned by the outgoing user

  3. Select the records

  4. Click Edit

  5. Update the Owner to the new user

Reassign other records

Repeat this process for other record types, such as:

  • Pipelines

  • People

  • Companies

  • Leads

Tip: Work through each section of Copper to ensure no records remain assigned to the old user

Step 3: Remove the old user

Once you are ready to remove the old user:

  1. Go to Customization β†’ Users β†’ User Management

  2. Find the user you want to remove

  3. Click the three dots (β‹―) next to their name

  4. Select Delete

Removing the user will free up a seat, which can be assigned to the new user if needed.

Step 4: Assign a seat (if required)

If the new user was on a trial:

  • Assign them an available seat to maintain access after the trial ends


Tips

  • Always reassign records before removing a user to avoid losing ownership visibility

  • You can skip reassignment if the old user has no active records

  • Completing this process during the trial window helps avoid interruptions
