This guide explains how to configure a journal rule in your Microsoft 365 environment to automatically forward emails to your organization's dedicated Compliance Archive address (<identifier>@archive.copper.com).
Once set up, messages from the users or groups you select will be archived automatically, with no action required from individual users.
The process is completed in the Microsoft Purview portal and takes only a few minutes.
Requirements
Before you begin, make sure you have the following:
A Microsoft 365 or Exchange Online subscription. Journaling all messages is available on all Exchange Online plans. Journaling scoped to specific users or distribution groups requires Exchange Online Plan 2 (included in Office 365 / Microsoft 365 E3 and E5).
βAn account with administrator access β Global Administrator, or a role with journaling permissions such as Compliance Administrator.
βAn internal mailbox to receive undeliverable journal reports. This must be a mailbox in your organization and cannot be the archive address itself.
βThe unique archive address (
<identifier>@archive.copper.com) that was assigned to your organization and provided in the welcome email.

Step-by-step guide
Log in to the Microsoft Purview portal
Sign in at purview.microsoft.com βοΈ using an account with administrator privileges.
βNavigate to Solutions > Data lifecycle management > Exchange (legacy) > Journal rules

βSet the undeliverable reports address
Before creating a journal rule, you must specify where undeliverable journal reports are sent. Navigate to Settings > Data Lifecycle Management > Exchange (legacy).

In the "Send undeliverable journal reports to" field, enter the address of an internal mailbox in your organization, then click Save.

β οΈ This mailbox must be a regular internal mailbox. It cannot be the Compliance Archive address or any external address.
βOpen the Journal rules section
Navigate to Solutions > Data lifecycle management > Exchange (legacy) > Journal rules.
βClick + New rule
βEnter the following fields:
Send journal reports to: enter your Compliance Archive address (
<identifier>@archive.copper.com).Journal rule name: enter a description to identify the rule (for example, "Copper Compliance Archive").
Journal messages sent or received from: select Everyone to archive all users, or choose a specific user or group.

Click Next to review your settings

Your journaling rule is now active π₯³. Messages matching the rule will be forwarded automatically to your Compliance Archive.
Changes may take a few minutes to fully propagate.
π‘ Good to know
The Compliance Archive operates independently from Copper CRM. There is no integration to Copper CRM, and access to Copper CRM is not required to access the Compliance Archive. A Compliance Officer can be a user in the Compliance Archive without being a user in the CRM.
