Connect Google Workspace to the Compliance Archive

This guide explains how to configure routing rules in your Google Workspace environment so that emails are automatically forwarded to your organization's dedicated Compliance Archive address (<identifier>@archive.copper.com).

Once set up, messages from the organizational units you select will be archived automatically, with no action required from individual users.

The entire process is completed within the Google Workspace Admin console and takes only a few minutes.

Requirements

Before you begin, make sure you have the following:

  • An enterprise-level Google Workspace account (the third-party email archiving feature is only available on eligible enterprise editions).
    ​

  • Administrator access to your Google Workspace Admin console.
    ​

  • The unique archive address (<identifier>@archive.copper.com) that was assigned to your organization and provided in the welcome email.

Set the routing rule on an organizational unit ↗️, not individual inboxes. New users added to that unit are archived automatically β€” no manual setup needed per person.

Step-by-step guide

  1. Log into the Admin console
    Sign in to your Google Workspace Admin console at admin.google.com ↗️ using an account with administrator privileges.
    ​

  2. Open the Gmail settings
    From the main menu, navigate to Apps > Google Workspace > Gmail.
    ​

  3. Open the Routing section
    ​

  4. Select an organizational unit
    In the left-hand panel, choose the organizational unit you want to monitor. The routing rule will apply to all users within the selected unit.
    ​

  5. Add the archiving rule
    Locate the third-party email archiving section and add a new rule.
    ​

  6. Enter:

    1. A description to identify the rule (for example, "Copper Compliance Archive").

    2. The archive address assigned to your organization was included in the welcome email. It will be formatted as <identifier>@archive.copper.com.
      ​

  7. Click Save

Your routing rule is now active πŸ₯³. Emails from the selected organizational unit will be forwarded automatically to your Compliance Archive.

Changes may take a few minutes to fully propagate across Google Workspace.


πŸ’‘ Good to know

  • The Compliance Archive operates independently from Copper CRM. There is no integration to Copper CRM, and access to Copper CRM is not required to access the Compliance Archive. A Compliance Officer can be a user in the Compliance Archive without being a user in the CRM.

  • You must be on an Enterprise plan of Google Workspace. This is required to configure Compliance Archive as a consumer of your Gmail accounts.
